Enough or Too Much

OK I am cooking/coordinating a fundraiser event. Meeting at 1:00 p.m., auction at 2:30 p.m., Dinner from 4-6 p.m., Entertainment with bar thereafter. Here is the menu and how much I expect to serve.

Iced Tea (24-1 qt tea bags), Lemonade (12-16 12oz frozen cans), Coffee (2 lbs)
Meeting 1 gal each tea & lemonade Coffee urn makes 40-50 cups
Dinner 2 gal/hr each tea and lemonade second urn of coffee if needed (no one wants stale coffee)

Crudités (30 lbs mixed vegetables and pickles), Chips (10 lbs) and Dips (6 qt various dips)
Meant for meeting only, but will carry over through auction and up to dinner
3 amuse bouches prepared on the grill over the course of the auction and up to dinner
~5 lbs total

Roast Pork (whole pig 70 lbs dressed weight)
Roast Turkey (6 bone in turkey’s)
Barbeque Beans (4 gal)
Corn on the Cob (100-120 cobbettes)
Picnic Macaroni Salad (8 lbs dry weight noodles)
Simply Sweet Coleslaw (20 lbs)
Southern Baked Potato Salad (35-40 lbs)
Corn Bread Muffins and rolls (120/400)
Strawberry Cake (10-9x13 inch or 5-12 x 18 inch)

You did fabulously on the food amounts, but you will need to beef up the beverages. For the meeting and auction, allow 4 gallons each tea and lemonade, and offer about 1/4 sugar-free or unsweetened.

Use the dinner coffee recommendations for dinner, you need some decaf, especially if it is an older crowd.

For the amuse bouche, expect that every person will eat 1 of each kind, two if they are very attractive (beef, shrimp).

Thank you so much. I forgot to say that the bar will have soda for sale. We will not be serving alcohol until after the auction. I will definitely allow for more beverages during the meeting.

Thanks for reminding me about decaf.

the amuse bouche will be Tailgate Meatballs served with Pretzels, Grilled Vegetable and Cheese Quesadillas, Bacon Wrapped Chicken Jalapeno Poppers and perhaps Grilled Pineapple with Honey Lemon/Lime Glaze (only if they are in season and cheap in June)

Definitely 2 meatballs, 1 quesadilla, 1 1/2 to 2 poppers, 1 pineapple per person.

It wouldn't hurt to have 3 or 4 meatballs, but 2 is the minimum; you won't have any left...

The meatballs should be no problem I can make them in advance and freeze them. One batch makes 32 meatballs so if I double the recipe and make it 6 times I should be good.

Just in case anyone would like to know, I am going to change to Pita Margheritas, the meatballs and grilled fruit.
